How to pitch hotels for a collaboration or hosted stay

Pitching a hotel is not like pitching a product brand. A hotel is not sending you something off a shelf, it is giving up a room it could have sold. Once you understand the economics of an empty room, you can make an offer that costs the hotel almost nothing and still feels like a fair trade.

Why hotels think differently

A room that goes unsold tonight earns nothing, and that money is gone forever. So an empty room costs the hotel only the cleaning and a little overhead to fill. That is the whole basis of a hosted stay. You are not asking for a giveaway, you are helping them turn dead inventory into content and bookings.

Pitch the shoulder season

A hosted stay in peak season is a hard yes to get, because the hotel could sell that room easily. Aim for the shoulder season, the quieter weeks between busy and dead, when they have rooms to spare and a real reason to want more visibility. Naming the exact low-demand dates you can travel makes your pitch far easier to say yes to.

Find the PR or marketing manager

The front desk cannot approve a collaboration, so do not pitch them. Larger hotels have a PR, marketing or communications manager, and chains route this through a regional press contact. Look on the hotel's press page, or search the property name with marketing manager, and send your pitch to a real person.

The hosted-stay pitch

Hi [name], I create travel content for [audience] who plan [type] trips, and [city] is high on their list. I would love to feature [hotel] in a hosted stay. For [two nights] I would deliver [one reel, a set of stories, and three photos you can reuse], timed for [shoulder-season month] when I can help fill quieter dates. Happy to share past work and a few dates that suit you.

Offer a clear deliverable set

Vague offers of exposure get ignored. Spell out exactly what the hotel gets, for example one reel, a set of stories, and a handful of photos they are free to reuse on their own channels. Concrete deliverables they can picture, plus timing that fills quiet rooms, is what turns a cold pitch into a booked stay. Our email templates give you a structure to adapt.
